Travel Quotation vs Travel Itinerary: What’s the Difference?
Planning a safari or an international vacation involves more than choosing a destination and booking accommodation. Travelers need to understand the proposed costs, the activities included in their trip and how each day will be organized. This is where two important travel documents come in: the travel quotation and the travel itinerary.
Although these documents are closely related, they serve different purposes. Understanding the difference helps travelers make informed decisions and enables travel consultants to communicate clearly with clients.
What Is a Travel Quotation?A travel quotation is a document that outlines the estimated cost of a proposed trip based on the requirements of the travel. It provides a financial breakdown of the travel arrangements being offered, helping clients evaluate their options before making a booking.
For example, a safari quotation for a trip to Maasai Mara National Reserve, in Kenya may include accommodation, park fees, game drives, transport, meals and the cost per person. It may also specify whether the price is based on single, double or shared accommodation.
Typically a comprehensive travel quotation includes
l The total estimated cost of the trip and price per person
l Accommodation options and applicable room rates
l Transport and transfer costs.
l Activities, excursions and applicable park or conservation fees.
l Included and excluded services.
l Payment terms, deposit requirements and cancellation conditions.
l The quotation’s validity period and any important booking conditions.
A quotation gives the traveler a chance to allow travelers to compare packages, adjust their budgets and decide whether the proposed arrangements offer value for money.
Importantly, a quotation is not necessarily a confirmed booking. Prices and availability may change before reservations are secured, depending on supplier terms, seasonality and the quotation’s stated validity.
What Is a Travel Itinerary?A travel itinerary is a structured plan showing how a trip is expected to unfold. It explains the sequence of travel arrangements, activities and destinations, often organized by day.
For instance, a four-day Maasai Mara safari itinerary might show arrival in Nairobi on Day 1, transfer to the Mara on Day 2, morning and afternoon game drives on Day 3, and the return journey on Day 4.
A detailed itinerary may include:
l Travel dates and destinations.
l Daily activities and planned excursions.
l Accommodation arrangements for each night.
l Transfer details and transport arrangements.
l Departure and arrival information.
l Meal plans and scheduled experiences.
l Important travel notes, meeting points and practical instructions.
The itinerary helps travelers understand what to expect, where they need to be and how their time will be spent.
However, an itinerary is not automatically proof that every service has been booked or paid for. Unless explicitly confirmed, proposed flights, accommodation, activities and transfers may remain subject to availability.
Do Travellers Need Both Documents?Yes. The two documents complement each other and provide a more complete picture of the proposed travel experience.
A quotation explains how much the trip is expected to cost and what the price covers. The itinerary explains how the proposed arrangements fit together throughout the journey.
For example, a quotation may state that a three-night safari includes accommodation, meals, park fees and game drives. The itinerary then explains when the traveller will arrive, which activities are planned each day and when the return transfer is scheduled.
Before accepting a quotation, travellers should check that the itinerary matches the quoted services, dates, accommodation category and number of nights. They should also confirm which arrangements are guaranteed, which remain subject to availability and what conditions apply to payment and cancellation.
In short, a travel quotation and a travel itinerary serve different but equally important purposes. The quotation focuses on the cost; the itinerary focuses on the experience and schedule.
For travelers, reviewing both documents helps to prevent misunderstandings and supports better planning. For travel consultants and safari operators, preparing accurate, consistent documents builds trust, sets clear expectations and creates a smoother booking process.
Before travelling, always obtain confirmation of the actual reservations and services included in your package. A well-prepared quotation and itinerary are essential planning tools, but confirmed bookings and supplier terms determine which arrangements are secured.

How do I reuse a sold trip as a quotation template?
Save the quotation from a previously sold trip as a template, then use it to prepare a new quotation for another enquiry.
- Open the original quotation. Find the sold trip under Bookings, open the booking and choose Manage Docs. In Quotations, choose View for the quotation you want to reuse. You can also open it from the original enquiry or client record.
- Save a reusable template. On the saved quotation, enter a useful Template name, such as a destination and trip duration, then choose Save Template. This saves a reusable copy of the quotation content.
- Create the new enquiry. Open Sales > Travel Enquiries > New Enquiry, or Sales & CRM > Leads > New Lead for staff accounts. Enter the new customer requirements, travel dates and traveller counts, then save and open the enquiry.
- Load the saved quotation template. Under Quote Actions, find Reuse existing quote template. Choose your template from Select quote template, then choose Use Template. The system opens a new quotation draft for this enquiry; review it before saving.
- Adapt the trip for the new customer. Check Trip Summary and enter the new traveller names. Review Transport, Investment, Included / Excluded, Stays, Itinerary and Terms. Check every date, especially transport service dates, and confirm current prices, availability, rooms, activities, payment details and policies. Adjust the daily programme to match the new trip.
- Review, save and share. Check Review & Share, then choose Save Quotation. Preview the saved PDF and itinerary. Choose Publish Web when you are ready to send the new quotation link to the customer.
The original sold quotation stays unchanged. If your template is missing, confirm that you saved it using the same account and ask your administrator to check your access and subscription limits.
